Executive Brain Academy ("Executive Brain Academy," "we," "us," or "our") provides the Executive Brain mobile and web application (the "App"), which helps students develop organizational habits and routines, and helps parents and coaches stay aligned on a student's weekly progress. This Privacy Policy explains what information we collect, how we use it, how we share it, and the choices available to you.

By creating an account or using the App, you agree to the practices described in this Privacy Policy. If you do not agree, please do not use the App.

1. Who This Policy Applies To

The App is used by three types of users:

Students — middle and high school students who plan assignments, track progress, and communicate with their coach.
Parents/Guardians — adults who view their child's goals, grades, and weekly progress.
Coaches/Administrators — Executive Brain Academy staff who set up accounts and support students.

Because the App is designed for middle and high school students, some users are minors. We take the privacy of minors seriously. Please read Section 8 ("Children's and Students' Privacy") carefully.

2. Information We Collect

We collect only the information needed to operate the App and provide our services.

Information provided when an account is created. Accounts are created by Executive Brain Academy or by a parent/coach on a student's behalf. This may include a name, email address, role (student, parent, or coach), and the relationships between a parent and their children.

Information you provide while using the App. This includes weekly plans, assignments, tasks, schedules, goals, academic grades and progress entered into the grade tracker, submissions, and messages exchanged with a coach or between a parent and coach.

Account security information. We store a securely hashed version of your password. We do not store passwords in plain text. If two-factor authentication is enabled for an account, we temporarily store a verification code to confirm sign-in.

Device and technical information. To deliver push notifications, we store a device push token. We may also process basic technical data necessary to operate and secure the service.

We do not collect precise geolocation, contacts, photos (other than images you choose to attach to an announcement or submission), or advertising identifiers, and we do not use the App to build advertising profiles.

3. How We Use Information

We use the information we collect to:

Create and manage accounts and the relationships between students, parents, and coaches.
Provide core features: weekly planning, scheduling, grade tracking, assignment organization, goal setting, and progress reviews.
Enable communication between students, parents, and coaches.
Send notifications about messages, announcements, and submission updates.
Maintain the security of accounts, including password protection and optional two-factor authentication.
Operate, maintain, troubleshoot, and improve the App.
Comply with legal obligations.

We do not sell personal information, and we do not use personal information for third-party advertising.

4. How Information Is Shared Within the App

The App is collaborative by design, so certain information is visible to the people connected to a student's account:

A coach/administrator can view the students they work with, including plans, submissions, grades, and messages with those students.
A parent/guardian can view their own child's goals, grades, weekly progress, approved plans, and announcements, and can exchange messages with the coach. A parent has a read-only view of their child's conversation with the coach.
A student can view their own information and exchange messages with their coach.

Announcements posted by Executive Brain Academy are visible to the parents they are sent to.

5. How We Share Information With Third Parties

We share information only with service providers that help us operate the App, and only as needed for them to perform their services:

Hosting and database/back-end services that store account and app data.
Push notification delivery services that send notifications to your device.
Email delivery services used to send sign-in codes and password-reset messages.

These providers are authorized to use information only to provide services to us. We may also disclose information if required by law, to protect the safety of users, or in connection with a business transfer. We do not otherwise share personal information with third parties for their own purposes.

6. Data Retention

We retain personal information for as long as an account is active or as needed to provide the service. When an account is deleted, we delete or de-identify the associated personal information, including messages, notifications, submissions, and grade-tracker data, except where we are required to retain it to comply with legal obligations or to resolve disputes.

7. Data Security

We use reasonable administrative, technical, and physical safeguards to protect personal information, including password hashing, encrypted connections, and optional two-factor authentication for administrator accounts. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

8. Children's and Students' Privacy

The App is intended for use by middle and high school students under the direction of Executive Brain Academy and a parent/guardian.

Student accounts are created and managed by Executive Brain Academy and/or a parent or guardian. We do not knowingly allow children to create their own accounts without adult involvement.
We collect from students only the information needed to provide the educational service: their plans, assignments, grades and progress, submissions, and messages with their coach.
We do not use student information to serve advertising, and we do not sell student information.
A parent or guardian may review their child's information, request that we correct or delete it, and request that we stop collecting it by contacting us using the information in Section 12. Honoring a deletion request may require closing the student's account.

If you believe a child has provided us information without appropriate adult involvement, please contact us and we will take steps to delete it.

9. Your Choices and Rights

Access and correction. You can view and update much of your information directly in the App. Parents and coaches can request changes to a student's information by contacting us.
Deletion. You may request deletion of an account and its associated data by contacting us.
Notifications. You can disable push notifications in your device settings at any time.
Regional rights. Depending on where you live, you may have additional rights over your personal information (such as the right to access, correct, delete, or restrict processing). To exercise these rights, contact us using the information in Section 12.

10. Third-Party Links

Announcements or messages may contain links to third-party websites (for example, a video link). We are not responsible for the privacy practices of those sites, and we encourage you to review their privacy policies.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice within the App. Your continued use of the App after an update means you accept the revised policy.
